I am a program director for my youth's conference this year is call #radiatemovement , we had done in several locations like perth, miri, penang and kota kinabalu and we are thinking to go for more places!

Okay enough for introduction, let's get into the real thing . So if you are first time doing an event you definitely dont know where to start , right?

  1. Vision! 👓
First , go to somewhere quiet like coffee shop ,bedroom or even your bathroom then write down your purpose, vision and goal that you want to get from this event, so that you will get motivated and you will not get directionless. Always set a goal or vision that will scare you and make you uncomfortable, so that it will challenge you, strecth you and have faith in God as well. For example, if you aim for 5000 people, naturally you will work harder and try to hit the goal, by the end of the event, although you didn't reach your goal but somehow you will going to have like 1000 or 2000 people.

  2. Create a " sheet"📗
the people in google are geniuses, they create this software call "Google drive " and we can always make a "sheet" , put all the data inside. The best part is you can share your members, so that they can edit as well, you know what u dont need to always take your laptop here and there to edit it, you can just use your phone or anything that can use internet, just type in google drive and enter your email, everything settled!

  3. Choose committees 🙋
this part is really important, one thing that i learn is put the right and suitable person in the suitable role. It's not we don't believe in people or look down other people , we want to include / put the right person in the right time , right position . " Alex, how you know if you put the right person in the each role? " . Good question! If you still need to manage them or like keep constantly tell them what to do , maybe next time in the next event put them in another different role.

  4. Make a schedule 📖
Schedule is probably everything! The flow, the experience , the atmosphere. Every little things inside the place matters like the arrangement of the chairs, is the A/C cold enough, is everyone look rush or busy . Those things are really important as well, dont ever ever neglect them. Here is a example how i write a schedule for one whole day :

You can see that i write alot of details in the right side, it's because so that it will smoother and people know what to notice or what to do, that's the whole point of having a schedule!

  5. Meetings 🎎
Constantly have a meeting is necessary, maybe twice a month or once a month. You as a program director always plan what you want to say and what to discuss before meeting up, so that you will not wasting other people's time .
Before you end the meeting, it is super important that you end by inspiring and motivating them!

  6. Rehearsals 🙌
Rehearsals is kind of similar to the meetings part, but more in working on the schedule . Before you start the rehearsals, brief your people so that they know what to do. Stage manager need to be the sharpest person and always need to know what's next ?, what's next?
, always in their mind need to know what's next and remind the people that is going us stage next! It is not okay if the media team or worship team or any departments that is not well prepared for that night, everyone should be 100% ready. Always work on the details, if any moment felt awkward or not smooth , run through it again , again and again untill you are satisfied .

  7. Check every departments 😤
Get your event manager together and check every deparrments do they doing something and make sure they finish their work / jobs . It wi be good you set a due date, usually i set 2 weeks before the event starts , so that if anything happens , you still got time to fix it.

  8. LET'S GO !👯
You are ready to go! Always get your team to pray together. Prayers are powerful! In the bible , Matthews 18: 20 " For where two or three gather in my name, there am i with them. " You don't need to be afraid or nervouse because God said and promised that he will be there with you. God bless you and go change the world ! 🙌🌍 , Amen!
